What is Unleashed?

Unleashed is an Inventory Management system for Manufacturers, Wholesalers, and Distributors, and integrates tightly with our CRM.

What do we integrate?

Integration is our thing! We don't just integrate a few bits of data, or add a few basic links, we do proper integration. Our integration layer is two-way, constantly running and updating data from taxes and currencies to customers, products, inventory, orders, shipments and invoices.

How long does an Unleashed Import take?

The Unleashed integration will queue a new sync 15 minutes after the end of the previous sync, and any records updated in that time will be queued for syncing. Read about how to check your current integration state, here.

Customers

Feature

Explanation

Customer Account Code

This gets imported into the Sales Ledger Customer Code field. You can change this in Unleashed and it'll sync the change with your CRM.

Company Name

We import the Company Name when we sync any new Companies from Unleashed, and when a new customer account is created from the CRM into Unleashed. There is a constant sync of this information if the two way sync is enabled, click here to learn more.

Company Phone Number

We import the Company Phone Number when we sync any new Companies from Unleashed, and when a new customer account is created from the CRM into Unleashed. There is a constant sync of this information if the two way sync is enabled, click here to learn more.

Company Type

Company Type will be automatically set to either Customer or Supplier depending on the account type within Unleashed.

Unleashed Sales Person into Prospect CRM's Account Manager field

We import the Unleashed Sales Person into our Account Manager field when we sync any new Companies from Unleashed, and when a new customer account is created from the CRM into Unleashed. There is a constant sync of this information if the two way sync is enabled, click here to learn more.

Unleashed Customer Type

Unleashed Customer Type needs to be customised in - learn more here. We do have a constant sync of this field, so if it is changed in Unleashed, it will sync back to the CRM.

You can set the Customer Type when creating a new Unleashed customer account from the CRM.

Contacts (Name, Email Address, Phone numbers etc.)

We import the Unleashed Contacts when we sync any new Companies from Unleashed, and when a new customer account is created from the CRM into Unleashed. If you have the Two Way sync turned on then we will sync contacts from Unleashed.

You also have the option to create a contact in Unleashed that's in the CRM. Read more about the two-way sync here.

Company Main Address

We import the mainAddress when we sync any new Companies from Unleashed, and when a new customer account is created from the CRM into Unleashed.

You can configure a Two-Way sync of addresses via the Unleashed Two-Way sync here.

Delivery Addresses

We have a constant sync of the Delivery Addresses, meaning if a delivery address is changed in Unleashed, it will sync back to the CRM.

The Unleashed Sales Ledger address in the CRM is imported from the Default Delivery Address in Unleashed.

Default Price Tier

We have a constant sync of the customer's Default Price Tier, so if it's changed in Unleashed, it will sync back to the CRM. You can set the Default Price Tier when creating a new Unleashed customer account from the CRM.

Default Payment Terms

We have a constant sync of the customer's Default Payment Terms, so if it's changed in Unleashed, it will sync back to the CRM. You can set the Default Payment Terms when creating a new Unleashed customer account from the CRM.

Bill of Materials (BOMs)

We have basic support for Bill of Materials (BOMs), where we import the details of the BOM, and specifically the recipe of components that make up the BOM, including support for wastage quantities. Then, the CRM will perform BOM "what if?" stock calculations, with buildable stock values calculated on demand when viewing the product record.

Xero Analysis Code

For customers who have Unleashed as their primary connection to the CRM and Xero as their secondary connection, we import the Xero Analysis Codes for customers. You can also set the Analysis code when creating new customer accounts from the CRM into Unleashed.

Default Sales Order Group

We have a constant sync of the Default Sales Order Group from the Unleashed customer account.

This can be used to determine if the customer account is B2C when imported, learn more here.

Default Delivery method

We have a constant sync of the Default Delivery Method from the Unleashed customer account.

Credit Limit

We sync the credit limit from the customer account in Unleashed. You can find this in the Unleashed page on a company.

Customer Discount

We import the discount from the customer account in Unleashed. You can set a customer discount when creating an Unleashed account in the CRM.

Products

Feature

Explanation

Product SKU

The unique identifier for products can be changed in Unleashed and we obsolete the old Product SKU to avoid having duplicate products in the CRM.

Product Description

This will constantly sync if changed in Unleashed.

Selling Price

Standard Selling Price is constantly synced, and will be used on CRM Quotes if no price tiers are used.

Cost Price

Product Cost Price is constantly synced from Unleashed. You can define whether we import the Unleashed Average Land Price, Default Purchase Price or Last Cost as the CRM Cost Price here.

Price Tiers

We import all Price Tiers for products and use the customer's default when doing Quotes and Orders via the CRM. You can view the Price Tiers for a product on the product record in the CRM.

Stock Levels

Stock will be imported from all warehouses set up in Unleashed. You can see the total Stock Level, and individual Stock Level in the different warehouses on the product record.

Product Images

We can import Product Images from Unleashed if enabled in the CRM's System Settings - learn more here.

Product Notes

These can be imported into either the Extended Description, Internal Notes or Specification CRM fields. You can select which field you import to within System Settings.

Extended Description can be pulled through to the Quote table for the customer, so if these notes are useful additional information about the product that are customer-facing, it should go into the Extended Description.

Product Group

Will be imported to the CRM's Product Category field and this can be used on the Magic Matrix.

Unit of Measure

Will be imported into the CRM's Unit of Measure field and can be displayed on a Quote table - learn more here.

Sellable Flag

When we import products from Unleashed, if the Sellable Flag is set to 'No', we'll import the product as Obsolete.

Barcode

Will be imported into the CRM's Barcode field.

Purchases

We sync the Delivered Quantity, Delivery Date and Due Date from purchases in Unleashed.

Sales Orders

Feature

Explanation

Sales Orders Confirmed into Unleashed

We'll import any sales orders entered directly in Unleashed to the CRM under the Sales Order & Sales Transaction Report Entities.

Products

Any products on the order will be posted through to Unleashed.

Prices

The price entered on the order line will post through onto the order. This won't change the price for any future orders. Any default special prices need to be set in Unleashed on the customer account.

Discount Per Line

Discount entered on the order line will post through onto the order. This won't change discounts for any future orders. Any default discounts need to be set in Unleashed on the customer account.

Extended Description

Any notes entered in the extended description on the order line will be posted into the line comments within Unleashed on the order.

Delivery Notes

Any notes entered in the delivery notes will be posted into the Delivery Instruction field in Unleashed.

Delivery Address

The delivery address will default to the company's address, but this can be changed to any saved delivery address or by entering a new address. This will post through to the delivery address in Unleashed on the order.

Sales Order Group

Sales Order Group options are imported from Unleashed and the user can select the required sales order group for the order. This field will need to be customised into the Quote and Sales Order record layouts - follow the steps in this guide.

Delivery Method

Delivery Method options are imported from Unleashed and the user can select the required delivery method for the order.

Delivery Tracking Number

Delivery Tracking Number is imported on the Sales Order from Unleashed.

Customer Order Reference

Any reference entered here will be posted into the Customer Reference field on the sales order in Unleashed.

Warehouse

Warehouses will be imported from Unleashed and the user can select the required warehouse for the sales order.

Product Creation

If the user needs to create products that aren't already in Unleashed then this can be done using our product creator to create products straight from the CRM into Unleashed - learn more here.

Order Status

Orders are confirmed through to Unleashed as a status of 'Parked'.

Payment Receipts

We post the payment receipt through to Unleashed when a card payment is processed using Stripe for a CRM order.

Memo

When an order is confirmed, the notes within the CRM Memo field will be posted into the Comments field on an Unleashed order.

Order Due Date

When an order is confirmed, the Order Due Date will be posted into the Required Date on an Unleashed Order.

Custom Statuses

Custom Statuses will be synced for Placed Sales Orders
