Unleashed Two-Way Sync

Learn more about our two-way sync of basic company and contact information with Unleashed.

Keeping information in both your CRM and Unleashed system up to date is important. With this two-way sync, you can automatically keep both databases of Company and Contact information up to date. Once you've enabled this setting, we'll have a basic Company two-way sync of the following information:

  • Company Name

  • Company Phone Number

  • Company Website

  • Company Account Manager

  • Company Address

We also have a basic Contact two-way sync of the following information:

  • Contact First Name

  • Contact Last Name

  • Contact Email Address

  • Contact Phone Number

  • Contact Mobile Phone Number

  • Contact Fax Number

Enabling the two-way sync will update Contacts and Companies in both directions, as well as creating Contacts in the CRM if they're created in Unleashed. We won't automatically create any Contacts in Unleashed, this is only done using the button on a Contact Record. Any changes to Company or Contact synced fields (outlined above) in the CRM will be synced instantly to Unleashed, which means your data stays consistent across the platforms!

Prerequisites

  • You'll need CRM Admin rights in order to follow the steps in this article

  • Account Managers will need to be set at Company Level

Step 1: Go to Settings Centre

To enable the two-way sync of company information with Unleashed, head to System Settings in the navigation menu.

Step 2: Enable Two Way Sync

Please note

  • When changes are made in the CRM, the sync from the CRM to Unleashed will be immediate.

  • When changes are made in Unleashed, the sync from Unleashed to the CRM will be completed as part of the imports running throughout the day.

  • If Account Manager sync is enabled, it will no longer be possible to select Account Managers that don't have a matching Sales Person in Unleashed. If a Sales Person doesn't appear in the Account Manager drop-down, it means the User doesn't have a match in Unleashed. Learn more about setting up an Unleashed Salesperson in this guide.

  • ERP syncing is unavailable for customers with multiple operating companies, or for customers with advanced ledgers enabled.

  • If you set the Company Website field in the CRM to something that Unleashed doesn't allow, it won't sync.

  • Conflicting updates will be resolved arbitrarily. Conflicting updates are updates made to the same field at both ends during the synchronisation window.

  • The Contact and Company sync is controlled by one System Setting option. This means it is not possible to disable only the Contact sync.

  • The Contact sync uses the default Company for the Unleashed Account to find the Contact records. This means, if you have many companies in the CRM, with only 1 Unleashed account, contacts will only sync to the single default CRM Company.

Enabling the Sync

Once within the Settings Centre, search for "two way" to locate the system option. Here, you'll have three options to choose from:

  • Enable Syncing between the CRM and your ERP system: When supported fields are changed in either CRM or Unleashed, the data should sync back into the other system.

  • Enable the syncing of Account Managers: If this is disabled, Account Manager updates will be excluded from the two-way sync.

  • Fix incorrect Account Managers overnight: This will update the Account Managers on your Company records to match the Account Manager set in your ERP system overnight.

  • Enable Syncing of Company Addresses between the CRM and your ERP system: This will sync the CRM Main Company Address to your Unleashed default Address.

If you wish to disable the two-way sync, you can do by setting all three options to 'Disable'. This will stop the two-way sync, but won't affect the standard sync between Unleashed.

Syncing a Contact to Unleashed

If you wish to create a Contact in Unleashed from the CRM, use the 'Sync to Unleashed' button under the Created area of a Contact record.

For the 'Sync to Unleashed' button to be enabled, the Contact must be under a Company with an active Unleashed account connected to it.

If the Contact already exists in Unleashed, then you can monitor the sync in the same Created area of the Contact.
