Price Tiers | We import all price tiers for products and use the customer's default when doing quotes & orders via Prospect CRM. You can view the price levels for a product on the product record in the CRM. |
Stock Levels | We import stock from all warehouses setup in Unleashed. You can see a total stock level and also stock level in the different warehouses on the product record. You can choose which warehouses are included in the total stock level figure within the system settings. |
Product Images | We can import the product images from Unleashed if enabled in the system settings- Importing Images from your Inventory Management System . |
Product Notes | Can be imported into either the Extended Description field, Internal Notes or Specification CRM fields. You can select a system option within the System Settings. Extended Description can be pulled through to the quote table for the customer, so if these notes are useful additional information about the product that is customer facing it should go into the Extended Description. |
Product Group | Imported to our Product Category field and this can be used on the magic matrix. |
Unit of Measure | Is imported into our unit of measure field and can be displayed on a quote table. |
Sellable Flag | When we import products from Unleashed if the sellable flag is set to No, we will import the product as obsolete. |
Sales Order
Feature | Explanation |
Products | Any products on the order will be posted through to Unleashed. Please note that the product description will just use whatever the product description is in Unleashed. |
Prices | Price entered on the order line will post through onto the order. This will not change the price for any future orders. Any default special prices need to be set in Unleashed on the customer account. |
Discount Per Line | Discount entered on the order line will post though onto the order. This will not change discounts for any future orders. Any default discounts need to be set in Unleashed on the customer account. |
Extended Description | Any notes entered in the extended description on the order line will be posted into the line comments within Unleashed on the order. |
Delivery Notes | Any notes entered in the delivery notes will be posted into the Delivery Instruction field in Unleashed. |
Delivery Address | The delivery address will default to the company's address but this can be changed to any saved delivery address or by entering a new address. This will post through to the delivery address in Unleashed on the order. |
Sales Order Group | Sales Order Group options are imported from Unleashed and the user can select the required sales order group for the order and this will be posted into Unleashed for that order. This field will need to be customised into the quote & sales order record layouts- Enabling Unleashed Sales Order Group on Quotations & Sales Orders. |
Delivery Method | Delivery Method options are imported from Unleashed and the user can select the required delivery method for the order, and this will be posted into Unleashed for that order. This field will need to be customised into the quote & sales order record layouts- Add Unleashed Delivery Method to Quotes & Sales Orders. |
Customer Order Reference | Any reference entered here will be posted into the Customer Reference field on the sales order in Unleashed. |
Warehouse | Warehouses will be imported from Unleashed and the user can select the required warehouse for the sales order and this will post through to Unleashed. The warehouse will also default to the customer's default warehouse as well. |
Product Creation | If customers need to create products on the fly that are not already in Unleashed then users can use our product creator to create products straight from Prospect CRM into Unleashed- CRM Product Creation . |
Order Status | Orders are confirmed through as a status of 'Parked'. |
Payment Receipts | We post the payment receipt through to Unleashed when a card payment is processed using Stripe for a CRM order. |

The Internal Notes field only supports plain text and is not typically shared with customers. |

Cost Price | We import Cin7 Core's (DEAR Inventory) Average Cost price as the cost price for the product. For more information on how Dear’s average cost price is calculated see DEAR | Average Cost . "Average Cost in DEAR is calculated as Value on Hand/Quantity on Hand for every given product. It is calculated from the average purchase price paid for the products including any landed costs. All historical costs of an item are used by the system to compute the Average Cost. The selling price is not taken into account with this calculation. It is recalculated automatically whenever any inventory movement (buy, sell, etc.) happens to the product – specifically when the purchase invoice is authorised or when shipment is authorised during sale (if different cards have different unit cost)." |
Sales Order

Voided Orders | Any orders voided in Cin7 Core (DEAR Inventory) will be removed entirely from the Sales Transactions page on the Company level. But the CRM Order will remain if processed from Prospect CRM. |
Paid Flag | We import the Paid Flag within the Sales Transaction entity. This can be added to the Sales Transaction page, and you also could create a report to show all outstanding sales transactions- Setting up Outstanding Sales Transactions Report . |

Quickbooks Online
In order to get our integration to Quickbooks Online in their store, extensive testing had to be completed. Whilst we can’t guarantee that it’s not bug free, Quickbooks themselves tested our integration and even paid a third party to do a security check. It did fail this security check initially and we then made amendments until it was passed, so the integration has been extensively tested!

Estimates | Estimates within Quickbooks Online are quotations, their status is then changed to an Accepted Estimate once authorised by a customer. An accepted estimate is an order in Quickbooks Online. You then change the estimate to an invoice, which is when we import it as an order in the sales transactions. We post orders through as either Unsent or Draft Invoices. |
