The CRM Library enables you to upload files to your CRM system so they can be easily referenced by the team. The CRM Library provides a folder structure enabling you to store both uploaded files and links to external resources, such as SharePoint.
Benefits of CRM Library
Here are three ways that the CRM Library could benefit your business:
Attaching CRM Library Files to Emails
Once you've uploaded your files to the CRM Library, these can then be attached to emails sent via the CRM. For example, you may need to send an introductory brochure to new prospects. After uploading the brochure to the CRM Library, your users can quickly attach this to emails sent via the CRM, see Attaching CRM Library Files to Emails.
In addition, you can automatically attach CRM Library files when an email template is used. For example, you may need to send a Terms & Conditions document whenever a Quote is sent to a customer. Within the CRM, you can automatically attach this CRM Library file whenever you use your Email Quote Template, see Attaching CRM Library Files to Email Templates.
Associate CRM Library Files with Web Products & Web Product Groups
If you have an integrated B2B eCommerce website or Trade Portal with the CRM, you can also associate CRM Library Files with Web Products and Web Product Groups. For example, you may have product specification documents for products featured on your website, and it might be important that customers have access to these. You can upload the product specification documents to the CRM Library and associate them with the Web Products. These documents will appear on the product detail page as a download option. Adding your Library Files to Quote Tables
Having Library Files in the CRM is great, but it can be even better if your customers can easily access them! If you have Product specifications or files associated to the product that your customers might need to check when quoting, then you might want to send links to these files in your Quotes. To provide a smooth experience for your customer, have any public files associated with the Product automatically added to your Quote Tables. Uploading Files to CRM Library
The CRM Library enables you to upload files to your CRM so they can be easily referenced by the team. The CRM Library provides a folder structure enabling you to store both uploaded files and links to external resources, such as SharePoint.
Important: The maximum file size limit is 100mb per uploaded file.
In this section, we'll focus on how to upload files to the CRM Library.
Step 1: Open CRM Library
To open the CRM Library, go to the navigation menu and select Library.
Step 2: Add New Folder
Firstly, you may need to add a new folder to the CRM Library if you don't already have a folder created for the file that you need to upload. To create a new folder, simply navigate to the parent folder that you wish to create the new folder under. If you wish to add a new root folder, click the '+ New Folder' button located in the bottom left-hand corner.
Give the new folder a name and click 'OK'.
A new folder will then be added to the location you created it in.
Step 3: Option 1 - Drag and Drop Files to Upload
Finally, drag and drop the files from your desktop or computer's file browser to upload the files to the CRM Library.
๐ค Tip: You can upload multiple files in one go via the drag and drop functionality!
Step 4: Option 2 - Upload Files using File Browser or Create a Linked File
Alternatively, you can click the 'Add Files' button or the plus icon in the top right-hand corner to upload files to the CRM Library.
You can then choose to either upload a file using your computer's file browser by selecting 'Upload Files' or choose to create a linked document such as a link to a SharePoint document using the 'Create a Link' option.
๐Note: Creating a Link is intended to help Users access internal documents, such as commonly used SharePoint or Google Docs files. You can't attach a Library Link record to an email or as an attachment.
