Exporting Information from the CRM

This article outlines how to export information from the CRM to Excel.

Reports and certain lists of information can be exported from the CRM into Excel quickly and easily to give you further insight into your data. 

Prerequisites

  • You'll need Export Lists rights to be able to do this. Your permissions can be set in User Management

Step 1: Go to a Record

In this example, we'll be exporting all of the Opportunities under a particular Contact. By clicking on the further options (three dots), select the 'Save to Excel' option from the drop-down.

Before exporting, ensure that the desired fields are visible in the columns by selecting "Select Fields" from the interface menu (e.g., three dots).

Step 2: Wait for the Data to Download

Once selected, a popup will appear letting you know that your file is being prepared.

The next popup will let you know the progress of the download. At this point, you can click away from the popup and carry on using the CRM - the download will continue in the background.

Some data exports are so quick the above popup doesn't appear and you get straight to the download popup! The final popup shows the number of rows that have been downloaded to Excel as well as a button to download the file.

Step 3: Open your Excel File

You can choose to download the file, but you'll also be emailed a copy of the download.

Troubleshooting Common Issues

  • Missing Export Option
    Make sure the Export Lists permission is enabled for your account. If you cannot access this setting, contact your system administrator.

  • Incomplete Data in Export
    Check that all required fields are included in your current view before exporting the data.

  • File Format Issues
    Confirm that your system supports Excel file formats to open and use the exported file correctly.

  • Column Names
    Ensure column names match the template exactly. All fields marked with an asterisk must be completed.
