Set up and configure your CRM dashboards

Set up and configure your CRM dashboards so they show the information you need.

Written by Jessica Nash

Before you use the CRM dashboards, set them up and configure them to suit your needs. These steps help you get the most from the insights the dashboards offer.

⚠️ Important: You'll need CRM Admin rights to complete the configuration steps.

Navigate through a dashboard

Refresh the dashboard

You can refresh any CRM dashboard to see the latest data.

Click the refresh button in the top right-hand corner of the dashboard. The timestamp to the left of this button shows exactly when the dashboard was last refreshed.

🤓Tip: If a newly created dashboard doesn't appear in the drop-down, refresh the page to load the latest changes.

Check your screen size and zoom level

Your screen size and browser zoom level both affect how much data you see in each tile on the dashboard.

For instance, if your browser's zoom level is set to 50% (instead of the default 100%), each tile shows more data, as there's more space available on your screen.

To change this, adjust the zoom level in your browser to your liking.

Add a profile picture

Many tiles on the dashboard and across the CRM display an avatar, which is a profile picture shown in a circle. CRM users can upload a profile picture in their own CRM settings, found at the bottom of the navigation menu on the left of the CRM. This makes it easier to identify what each person is working on.

If no profile picture is set, the user's initials appear in the circle instead.

Filter the dashboard by user

Depending on how the dashboard is configured and your user permissions, it may already show only your accounts. Otherwise, you can select another user or Everyone from the drop-down in the top right-hand corner.

When you filter a dashboard by user, it displays data based on the person responsible for it. For example, the Account Manager Dashboard shows data based on the Account Manager, regardless of the Sales Person involved. The Sales Rep Dashboard, by contrast, filters Opportunities by Sales Person, regardless of the Account Manager.

If you filter by a specific CRM user, such as an Account Manager, rather than selecting Everyone, the See More links on each tile take this into account. For example, if you've chosen a specific Account Manager on the Account Manager Dashboard, the See More link on the 12-Month Orders tile shows all orders from the last 12 months that were closed by that Account Manager only.

Configure your dashboards

Use the Configure Dashboards area to change the order of your dashboards, control who can see them, and decide whether they're visible or obsolete.

In the top left-hand corner of the dashboard, click the drop-down arrow, then select Configure Dashboards.

Re-order dashboards

To change the order in which dashboards appear in the drop-down, click the drag handles (the dotted lines), then move your mouse up or down to re-order them. The dashboard at the top of the configure list also appears first in the drop-down for all CRM users when they log in to the CRM.

Control dashboard visibility

You can't permanently delete dashboards. Instead, you can mark them as obsolete, which greys them out in the drop-down for all CRM users. Users can still see the name of an obsolete dashboard, but they can't click on it.

To mark a dashboard as obsolete, use either of these methods:

  • Click the bin icon to the right of the dashboard you want to mark as obsolete.

  • Click the pencil icon to the right of the dashboard, then click Obsolete.

This changes the status from 'In Use' to 'Obsolete' in the Obsolete status column. To undo this change, click the timer icon button that replaces the bin icon to restore the dashboard. Refresh the dashboard to see it greyed out.

To remove a dashboard from the drop-down completely, so CRM users can't see it at all, go to the Configure Dashboards area. Click the pencil icon to the right of the dashboard, then clear the Visible checkbox.

Manage dashboard permissions

By default, all CRM users see all dashboards. You can choose which users see which dashboards by adding user permissions. This is ideal for Account Managers, as you can limit the Account Manager Dashboard to only their customers, so they can focus on their own data.

Personal dashboards are private by default. They don't appear under Configure Dashboards unless they're explicitly shared or configured for visibility.

📌Note: If you have a shared link to a report, such as the Enquiries report, you can open it directly. However, to make it appear on your dashboard, you must update the access settings by adding your user account or role.

To give only specific users visibility of a dashboard:

  1. Click the pencil icon to the right of the dashboard, then click Add User Role.

  2. Select the checkbox next to each user who needs access.

  3. Once you're happy with your selection, click Update.

You'll then see a list of those users. To revoke a user's permissions, click the bin icon next to their name.

🤓Tip: For easier management of dashboard visibility across teams, consider assigning roles instead of individual users. This approach simplifies updates and ensures consistent access for team members.

Frequently asked questions

Find answers to common questions about setting up and configuring dashboards.

Why doesn't my custom dashboard appear under Configure Dashboards?

Personal dashboards are private and don't appear under Configure Dashboards unless they're explicitly shared or configured for visibility. Follow the steps in the Manage dashboard permissions section to make them visible.

Can I enforce a standard dashboard view across all companies for all users?

Some settings can be applied across companies using the customisation dictionary, but not all settings can be enforced globally. You may still need to make individual adjustments.

Why can't I see a specific dashboard, such as Enquiries or Overview?

If you can't see a specific dashboard, it's likely due to access settings. Dashboards may be visible only to specific users or roles. To resolve this, go to the dashboard settings, click the pencil icon, and add your user account or role to the access list. Save the changes to update visibility.

Why can't I add a report to my dashboard?

If a report is created using Opportunity Search instead of the Opportunity report entity, it can't be added to a dashboard due to indexing limitations. To resolve this:

  1. Click More Reports, then click All Reports.

  2. Click New Report, then click Opportunity.

  3. Recreate the report using the Opportunity report entity.

  4. Add the new report to the dashboard as a report tile.

Why don't I see reports created by others?

Reports created by other users may not appear if they haven't been shared or made public. Make sure the report is shared with you or published for visibility.

Why is my report missing from the dashboard dropdown?

Reports must be saved in a visible report group, such as My Reports or Shared Reports. If the report is in a private or hidden group, it won't appear in the dashboard drop-down.

Why are some reports excluded from dashboards?

Reports built on certain procedure-based or special data sources are excluded from dashboards. Check the data source compatibility when you create a report.
