CRM Product Item Groups Import

This article outlines how to import product item groups to the CRM.

We understand that not everyone has an an integrated accounts/ERP system with our CRM. Whilst we do recommend having an integrated accounting/ERP system, you can still import product items & product item groups using our Product Import tool.

To import your Product Item Groups navigate to the Admin section via https://admin.prospect365.com/. To run the import tool you will require CRM Administrator rights. If you require these then please speak to your key CRM user or our Customer Services Team. 

To get started you will need to download a copy of the excel spreadsheet used to import your Product Item Groups. 

Once within the Admin section, scroll down the menu until you reach the Data Management folder. Within here click on the 'Export Data' option. 

From the record type drop down make sure you have 'Product Item Groups' selected, once completed click 'Export'. 

The Export will then start processing your request, you can check on its progress within the 'File Links' section. 

Once completed you will be able to click on the 'Download Product Item Groups File' link.  

Depending on how many Product Item Groups you already have within your system, they will all be listed within the exported spreadsheet. 

You will now need to start editing this spreadsheet to include your new Product Item Groups. To do so, scroll down to the bottom of the list of Products and enter in the information about the Product that you wish to import. Please note you can't have '&' and '/' symbols in the group product code. Also please do not change the column titles as these will be used by the import, to know where to import this information to.

Finally, once you have entered in the information about your Product Item Groups put 'INSERT' in the 'Action' column for each new Product Item Group. 

Now you have added your new Product Item Groups to the spreadsheet, we can use the import tool. Navigate back to the 'Admin' section and scroll down the menu until you reach the 'Data Management' folder. Within here click on the 'Import Data' option. 

From the record type drop down make sure you have 'Product Item Groups' selected, once completed click 'Browse' to find your newly updated excel file. 

Once you have selected your excel file, you can click 'Upload & Import'. Your new Product Item Groups will then be imported into your CRM system.
