This guide shows you how to get the most out of the CRM's AI writing tools, whether you're making quick edits with the In-Line Highlight feature or creating new content with the AI Assistant panel. These features are designed to help you save time when writing more effective emails and improving your messaging, without worrying about overusing your monthly quota.

Making Quick Edits

Use this feature to improve selected text in your email without leaving the editor.

How to Use In-Line Highlight

Highlight the text you want to improve and select the "AI Enhance" sparkle icon in the formatting toolbar.

From the popup, choose one of the following AI-powered edit options:

  • Proofread - Corrects grammar, spelling, and punctuation.

  • Friendly - Makes the tone more approachable.

  • Professional - Refines the message for a polished finish.

The revised version will be displayed immediately, and you can click "Accept" to apply the changes or "Decline" to keep your original text.

Quota Usage

Each time you use the highlight tool to generate content, it counts towards your CRM Workspace's shared AI generation quota. Every user in your Workspace contributes up to 1000 generations per month to this shared pool. So, if you have 5 users, your Workspace has 5000 total generations to use each month.

A progress bar at the bottom of the popup shows how much of the quota has been used. If you hover over the (?) icon, you can also see the quota renewal date, which is usually at the beginning of the following month.

Generating or Rewriting Content

Use the AI Assistant when you want to create new content, rephrase, expand, or shorten sections of your email.

How to Use AI Assistant

Click the AI Assistant button on the right side of your email composer to open a content generation popup.

In the popup, you'll see two text areas:

  • The first text area is where you choose the action you want to take from the following: Write for me, Rephrase, Expand, or Shorten. You'll also enter your prompt here. While you don't always need a lot of detail, clear and specific instructions will help the AI generate better results.

  • The second text area shows the current version of your email before generation, and updates with the AI-generated context afterwards. Use it to review and proofread the new content before inserting into your email.

Once your prompt is written, select the "Generate Content" button and the AI Assistant will create a new version that you can view in the preview area.

Click "Insert Content" to replace the original text with the AI-generated version to your email, or click "Revert Changes" or "Cancel" if you'd prefer to exit or try again with a different prompt.

Quota Usage

Just like the In-Line edit tool, every generation through the AI Assistant counts towards your Workspace's shared quota.

The quota is generous and designed to support regular use across your team, so there's no need to worry about running out. Use the tools as often as you need to get the results you want.
