Please note: this feature is in Private Preview at the moment, which means we're still making tweaks here and there to make it even better, as well as limiting the roll out to a few early adopters. It'll soon be available in Public Preview, allowing all customers to try this update for themselves.
If you want to clear and complete a Task that's been set, you can do this one of two ways:
By selecting the tick in the Tasks list/Activity feed, or
By opening the Task record
Certain statuses of other records (Opportunities and Problems) may require a Task before the window can be closed, so the below functionality will only allow you to add notes and change CRM User assigned to the Task. You'll know this because the 'Clear Task' button will be greyed out. You can review these statuses in Settings following this guide.
What's covered in this article
Complete a Task from your Task List
You can complete a Task straight from your Tasks list. This is an easy way to complete multiple Tasks at once.
Step 1: Navigate to your Task List
Head to your Tasks list from the top right-hand corner of the CRM by clicking on the tick icon. Here, you'll see a list of all your Tasks.
Step 2: Select Complete on a Task
Find the Task you wish to mark as complete, and select the circled tick icon.
This moves the Task to the "Completed Today" section of your list.
Step 3: Add an Outcome
Once you've completed a Task, you'll notice a notification for you to add an Outcome.
Choosing 'Add Outcome' when completing a Task will open the Task record, where you can then review and add an Outcome, if desired.
The Task Outcome is a place for you to add notes after the Task has been completed, including meeting minutes or important information that you discovered whilst on a call to a customer. Since you can build a Report on Tasks, the Outcome field makes it even easier to understand a Task's full lifecycle!
Any changes made to the Task will be saved automatically.
Completing a Task from Activity
Simply follow the same steps above to complete a Task directly in the Activity feed instead.
Please note: If the tick doesn't show next to the Task in the Activity feed, this means the Task is already completed. To reopen Tasks, check out this guide instead.
Step 4: Tracking completed Tasks
Once a Task has been completed, an entry will be added to the Activity feed so you can review a timeline of who completed the Task and when that happened.
Completing a Task will move it from the Upcoming and Overdue section of the Activity feed and place the Task entry into This Month.
If you're completing a Task that was set in the past, such as last month, then the Task completed entry will be placed into the correct section for when it was completed. So, if you completed a Task today that was set two months ago, the Task assignation entry will remain in the correct month segment, but the completed Task entry will be placed in "This Month" section.
Complete a Task
It's also possible to complete a Task when within the actual Task record itself.
Step 1: Navigate to the Task List
Open your Task list from the top right-hand corner.
Select the Task to open the record.
Step 2: Mark as Complete
Once within the Task record, use the 'Mark as Complete' button in the bottom left-hand corner to mark the Task as completed.
Once a Task is marked as completed, it'll be moved to the Completed section of your Task list.
Completing Another User's Task
You're also able to complete another User's task by selecting the tick icon in the Activity feed.
Completing another User's task will display a pop-up warning to notify you that it's not your Task, and checks if you wish to continue.
This will still add an entry to the Activity feed showing who completed the Task and when that happened.
