Please note: this feature is in Preview at the moment, which means we're still making a few tweaks here and there to make it even better. It also means that while all customers can benefit from the Outlook Calendar integration right now, when it's out of Preview it may be restricted to certain subscriptions.
Prerequisites
You'll need your Outlook Calendar integrated to the CRM before you can view the Calendar & Events.
Understanding your CRM Calendar
To navigate to your Calendar, click here or select 'Calendar' from the left-hand side navigation menu.
Within the CRM Calendar, you'll see a live reflection of your Outlook calendar including CRM Tasks. The colours of the Event entries are determined by the Outlook category set for the event and the colour of the Task entry is determined by the Task status i.e. Upcoming, Overdue etc. - similar to your Task list.
To ensure the changes you’ve made in Outlook appear in the CRM, use the refresh button located in the top right-hand corner.
If you need to return to the current day, simply click the handy ‘Today’ button - this takes you back to the current day in any selected view.
CRM Calendar Views
There are many different ways to view your Calendar. To select your view, use the drop-down option at the top of the Calendar, next to the 'Today' button.
Month
The 'Month' view for your Calendar displays the current month where you'll see each day's Events and Tasks. You can use the arrows in the top left to move which month you are viewing.
If you have more than four Events or Tasks on one day, some will be hidden, but you can view them by selecting '+X more'.
This will then show you all your Events or Tasks for the day. Hover over an entry to see the time of the Event.
To see more information about the Event, simply click into it to show more details. Within the Event flyout, you can also join any Microsoft Teams meetings, open the Event in Outlook, and review details.
Work Week
The 'Work Week' view shows you your Calendar for Monday - Friday, and gives you a more detailed breakdown of your Events for each day by time.
If you have Events that span an entire day, or you have Tasks for the day, you can view them at the top in the 'All-Day' section. These will be colour coded in line with the Task List. To learn more, check out this guide here.
If you have only one Task, you'll just see the name of the Task, but if you have multiple you'll see the total number of Tasks for that day. Clicking on the Task entry will open up a Task List for that day to view more details.
You can also click on the Tasks to see more details on those Tasks and complete them if needed.
To join a meeting via Microsoft Teams, or view details of the Event, you can do so by clicking on the Event.
Week
The 'Week' view displays the week from Sunday through to the following Saturday. The week view gives you a chance to view any Events on the weekend as well as during the week.
Day
The 'Day' view allows you to view all Events or Tasks you have set for a single day.
You can also get to this view by selecting the date on any view.
Selecting Specific Days
To the right-hand side of the calendar, you'll notice a small month view. You can use this to select a specific day within the month to view. Equally, it can be used to select any period of days you wish. This is perfect for when you only want to see 2 days of the week or a select period of time.
List View
Prefer to view your Calendar in list view? Switch using the option in the top right-hand corner.
In the list view, you'll see all your Events and all day Tasks for the week selected. This is great if you have a busy calendar and want to see a concise view of your Events.
Viewing CRM User's Calendars
It's also possible to configure whether CRM users can view other users' Calendars within the CRM. This is configured within the 'Microsoft 365 Integration' System Setting, found here. This setting applies to all CRM users. If you have shared your Outlook Calendar with specific individuals outside of the CRM, it won't have an impact on Calendar visibility in the CRM.
To see another User's Calendar, simply use the user drop-down in the top right-hand corner.
With the Calendar sharing turned on, any events set as 'Private' in Outlook won't share details and will appear as 'Private Appointment' in the CRM.
If Calendar sharing is turned off, other users will still see that you have Events, but they won’t be able to view any details. All Event names will be anonymised and replaced by the Event status, such as ‘Busy’.
Viewing Events in a Record Activity
When an Event is linked to a CRM record, you'll see an entry in the record's Activity for the meeting. This helps provide an easy overview of upcoming meetings and Tasks for the record all from one place. All Events within the Activity will have a calendar icon to mark them as an Event.
You can link or unlink a CRM record from an Event during Event creation as well as when viewing Event details. This is done via the 'Linked Record' field.
Please note: When a CRM record is linked with an Event, this Event will be visible in the Activity for all users, regardless if Calendar sharing is turned off.
