When you send an email from Prospect CRM, you can also request a copy to be sent to your email. However, by default, this email will appear in your Inbox. This article explains how you can create an inbox rule to move emails sent from Prospect CRM into your Sent folder for Outlook or Gmail.
Step 1: Manage Rules & Alerts
To create an inbox rule in Outlook, open your Outlook application and head to the File tab, located near the top-left. Then, select the 'Manage Rules and Alerts' button.
Step 2: Add New Rule
To manage your email rules, select the 'New Rule' button.
Step 3: Apply Settings
Select the template 'Move messages from someone to a Folder'. If you move your curser towards the bottom of the Rules Wizard, you'll then be able to apply the rule to a specific person or group of people, and specify the folder that you wish to move all the messages from. For this example, you'd be the contact to apply the inbox rule to and the specified folder would be the 'Sent Items' folder.
Once you've applied your rule description settings, create the inbox rule by pressing 'Finish'.
Step 1: Add Filter
To create an inbox rule in Gmail, click on the filter button, located at the end of your Search Mail bar at the top of your screen.
Step 2: Create Rule
You'll be presented with a list of filters to create your inbox rule for. For example, you can create a filter for emails that are only from yourself by typing your own email in the 'From' section. Once you've done this, select 'Create filter'.
This will then provide you with a list of options on what you'd like to happen to emails that meet your criteria. Once you've selected your options, press 'Create filter' again, and your inbox rule will be created.
