Tracking and reporting on sales reps' activities is essential for monitoring performance and ensuring accountability. Prospect CRM provides robust tools to create custom reports that help you track activities such as emails sent, calls made, and notes added.

Prospect CRM allows you to generate detailed reports on sales reps' activities. You can track:

  • Emails sent (logged automatically if sent from within the CRM)

  • Calls made (must be logged manually unless phone-call logging is enabled)

  • Notes added to activity records

These reports can be filtered by user, activity type, and date to provide insights into individual or team performance.

Create Activity Reports

Follow these steps to create a custom activity report:

  1. From the navigation menu, select Reports.

  2. Select "Create New Report" and choose "Activity" as the data source.

  3. Include columns such as User, Date, Activity Type, and any additional fields like Company Name or Contact Name.

  4. Filter by specific Activity Types (e.g., Incoming Call, Outgoing Call, Incoming Email) and date ranges (e.g., today, this week).

  5. Group the report by User and add a Count summary to see totals for each Activity Type per user.

  6. Save the report for future use and run it to view the results.

Prerequisites for Accurate Reporting

To ensure accurate reporting, follow these prerequisites:

  • Define Activity Types: Go to Settings > Activity Types and create specific types such as Incoming Call, Outgoing Call, and Incoming Email.

  • Consistent Logging: Ensure users select the correct Activity Type when logging interactions. Emails sent from within the CRM are logged automatically, but phone calls require manual logging unless phone-call logging is enabled.


Common use cases

Track emails and calls

  • Use the Activity Report to track the number of emails sent and calls made by each sales rep.

  • Filter by Activity Type to focus on specific interactions.

Monitor notes added

  • Use the Activity Note Report to view notes added by sales reps. This report does not include emails but provides detailed insights into notes.

Review Salesperson history

  • Build a report on the Activity Note entity and filter it by user to track a salesperson's history. Expand the report to include fields like Company Name or Contact Name for additional context.


Tips for ensuring data accuracy

  • Train users to log activities consistently and accurately.

  • Regularly review and update Activity Types to match your reporting needs.

  • Use filters and grouping options effectively to focus on the most relevant data.
