Manage User Details

Manage a user's name, job title, phone number and other details.

A CRM user's details, such as their name, email address, phone number, job title, access and permissions, can be found in Settings > Users > Show Details. These fields can be used in email signatures, footers and templates by inserting the corresponding CRM fields.

A user's name, email address, phone number and job title are synced from your Access Evo workspace, whilst their permissions within the CRM are set in the CRM directly. This synchronisation ensures that data is consistent and up-to-date across both platforms.

🤓 Tip: If the "Mobile" field in CRM is no longer receiving data, it is recommended to use the "Phone Number" field in the email signature template instead.

Update a user's Phone Number

⚠️ Important: A user must update their own phone number in Access Evo. This cannot be done by any other user of your organisation, including Administrators.

The Telephone field in Access Evo will sync to update the Phone number field in your user details. To update your phone number:

  1. In Access Evo, click on your profile in the top right corner and select My Settings.

  2. Enter the new phone number in the Telephone field.

  3. Click Save.


Update a user's Job Title

In Access Evo, Job Title tags are used to manage and update job titles for users in CRM. To create or set a new job title for a user, you must use a job title tag in Access Evo.

⚠️ Important: You must be an Administrator in Access Evo to manage tags.

To create a new tag and assign it to a user, follow the steps below.

  1. In Access Evo, click on your profile in the top right corner and select Tags.

  2. Click your name.

  3. Click Tags.

  4. Select Job Title from the left-hand menu.

  5. Add a tag value (name) for the new job title.

  6. Click the + icon to create the tag.

To assign a job title tag to a user so that it syncs and updates their Job Title in the CRM:

  1. In Access Evo, click on your profile in the top right corner and select Members.

  2. Search for yourself or the colleague you need to associate the tag with.

  3. Click the three-dot menu on the contact card.

  4. Click Manage Tags.

  5. Use the Job Title drop-down menu to select the relevant tag.

  6. Click Save Changes.

The tags are now associated with this member, and will sync to the CRM to update their Job Title accordingly.

📌 Note: If job titles were already set before your account migrated to Evo, they will continue to appear without requiring Access Evo tags.


Update a user's permissions and department

A user's permissions and the department they're associated with are managed in the CRM directly, within a user's details.

⚠️ Important: You need Organisation Admin rights in the CRM to amend a user's details.

Set a user's department

To update a user's department in the CRM:

  1. In the CRM, go to Settings > Users.

  2. For the user you want to update, select Show Details.

  3. Enter the Department.

  4. Click Save.

CRM permissions

To update a user's permissions in the CRM:

  1. In the CRM, go to Settings > Users.

  2. For the user you want to update, select Show Details.

  3. Use the "Organisation Access & Roles" and "Workspace roles" sections to determine what the user can do in the CRM; see Add Users and set permissions.

  4. Click Save.

Once updated, we recommend the affected user log out and back in to the CRM to ensure the changes have been applied successfully.
