If you use Prospect CRM through Access Evo, your Access Evo Administrator manages who has access to the CRM. This centralises user management and means all users log in through Access Evo instead of directly through Prospect CRM.
đ Note: To set CRM specific permissions, like making a user an Account Manager or Unlicensed, see our user permissions article.
Before you start, make sure:
You have an Access Evo organisation linked to your CRM.
You have Organisation Admin rights in Access Evo.
Add a new user to Access Evo
Before a user can access Prospect CRM, you need to add them as a member in Access Evo.
Click Access Button, then click My Dashboard to open Access Evo.
Click Members.
Click Add.
Enter the user's details, then click Save.

Access Evo sends the new user an email invitation from noreply@accessacloud.com. The user must accept this invitation before they appear in Prospect CRM.
đ Note: You can add one user at a time or upload multiple users in bulk.
Give a user access to Prospect CRM
Once you've added a user in Access Evo, you need to assign them access to Prospect CRM.
Click the options menu on the user's member card, then click Manage roles.
Select User from the Prospect CRM drop-down.
Click Save changes.

The user now appears in the Users list in Prospect CRM, where you can manage their CRM roles and permissions.
đ Note: Setting a member's role to No Access doesn't use one of your Prospect CRM licence seats. This is useful for members who don't need CRM access.
Revoke a user's access
â ď¸ Important: Deleting a user from Access Evo doesn't remove their Prospect CRM access. You must update their role to fully revoke access.
Click Access Button, then click My Dashboard to open Access Evo.
Click Members, then find the user.
Click the options menu on the user's member card, then click Manage roles.
Select No Access from the Prospect CRM drop-down, then click Save changes.
This deactivates the user's CRM access but keeps their data.
Restore a user's access
Click Access Button, then click My Dashboard to open Access Evo.
Click Members, then find the user.
Click the options menu on the user's member card, then click Manage roles.
Select User from the Prospect CRM drop-down, then click Save changes.

Check the email address entered when you added the user. If it's correct, resend the invitation from their member card in Access Evo.

Refresh Prospect CRM or clear your local cache, then check that the user's Prospect CRM role is set to User in Access Evo.
A deleted user still appears in Prospect CRM
A deleted user still appears in Prospect CRM
If a user was deleted from Access Evo before their Prospect CRM role was set to No Access, they may still appear in Prospect CRM. Re-add the user in Access Evo, then set their Prospect CRM role to No Access to complete the removal.
