Configure and set Urgent Notes

This article outlines how to configure and set urgent notes within the CRM.

By setting a note in the CRM as 'Urgent', it'll automatically appear as either a banner on the CRM record or as a pop-up when the record is opened.

Prerequisites

  • To configure Urgent Notes, you'll need CRM Admin rights.

  • You'll need to enable urgent notes before you can start setting them.


Configure Urgent Notes

Step 1: Navigate to the Settings Centre

To configure urgent notes, go to the navigation menu and select Settings > System settings, then search for 'Urgent Notes' in the search bar.

Step 2: Choose your Display Preference

You can either have your Urgent Notes displaying as a banner or as a pop-up (see examples of both of these display options below). Simply select your preferred display option.ย

Step 3: Choose Levels of Hierarchy

Once you've selected your display option, you can set the urgent note to display on all records within the hierarchy (Contacts, Opportunities, Problems etc.) or for them to only show at Company level.

Step 4: Choose Expiry Date

Usually, an urgent note will have some kind of expiry and will become less important over time. As a result, you can set a default expiry for this urgent note. Your options include: No expiry, 1 Week, 1 Month, 3 Months, and 1 Year. Simply choose your preferred default setting.

Step 5: Set Permissions

The final step in configuring your urgent notes is to determine whether all CRM users can set urgent notes or whether only CRM administrators can. Again, simply select your preferred option.ย 


Setting Urgent Notes

Step 1: Adding Urgent Notes

To add an urgent note, simply click on 'Add your Reply here...' within the Activity feed.

Step 2: Add Text & Post as Urgent

Type out your note, and once happy with how it appears, click on the drop-down arrow next to the 'Post' button and select 'Post as Urgent'.

Step 3: Set Expiry Date

By clicking 'Post as Urgent', you'll be asked to set an Expiry Date. If you've already set a Default Urgency Period when configuring your urgent notes, this will default to that system default setting. Once happy, click the 'Post' button.

Step 4: View your Urgent Note

You'll notice that the note you marked as 'Urgent' will appear either in a banner at the top of the CRM record, or in a pop-up when it's opened. Again, this will depend on how your urgent notes have been configured earlier on.

Step 5: Removing Urgent Notes

To remove an urgent note before its expiry, simply click on the urgent note icon for the required note. By clicking on this icon, the note will be converted from an urgent note to a standard note within the Activity feed.
