Confirm a Sales Order

How to confirm a Sales Order within the CRM.

The last step in the sales process is to confirm your order through to your integrated Inventory Management or Accounting System. Once the order has been confirmed, you'll be able to fulfil the order and send an invoice.

Prerequisites

To confirm an order, the quote must have 'On Hold' set to 'No', and the customer will need an assigned Sales Ledger. If the "On Hold" toggle is set to "Yes," the order cannot proceed to confirmation. Ensure this toggle is set to 'No' before attempting to confirm the order.

Step 1: Confirm the Order

To confirm a Sales Order, simply click the 'Confirm' button in the main Entry page of the record.

Step 2: Cofirmed Order status

Your Sales Order will then move to a status of "Waiting to be confirmed". Depending on which Inventory Management or Accounting System you have, the Quote will be pushed through to a status of "Confirmed order" when the next import runs. You can check whether an order has been confirmed by looking at the Quote status at the top of the Sales Order. This will show as "Confirmed Order" highlighted in green.ย 


Troubleshooting

Order confirmation issues in the CRM can arise due to various reasons, including system integrations, automation tools, or configuration settings.

  1. Check for Error Messages: If you encounter issues while confirming orders, start by checking for any specific error messages displayed in the system. These messages often provide clues about the underlying problem.

  2. Verify Order Status: Ensure that the orders are not stuck in a 'Processing' or 'Waiting to be confirmed' status. If an order remains in 'Processing' for over an hour, the order confirmation batch or process might not be functioning correctly.

  3. Restart Automation Services: If the issue persists, someone with access to the machine running the Automation Manager should restart the services.

Resolve currency mismatches

If you cannot confirm an order due to a currency mismatch:

  1. Update the company currency in your inventory management system, e.g. Unleashed. This change will be imported and reflected in CRM.

  2. If the quote shows the wrong currency but the company currency is correct, update the currency in the quote's details section.
