In Prospect CRM, a Quote will go through a series of statuses until it's either confirmed or cancelled. Depending on the type of transaction, you may want to prevent your CRM users from making changes when a Quote is in a particular status.
For example, when an order has been confirmed in your Accounting/ERP system, changes to the Quote after this point will not update your Accounting/ERP system. Therefore, it might be useful to ensure users are unable to edit a Quote in a 'Confirmed Order' status.
You'll need CRM Admin rights in order to follow the steps in this article
Step 1: Go to Settings Centre
To edit your Quote Statuses, click on the settings drop down, then select System Settings.
Step 2: Navigate to Sales in Settings
Once within the Settings Centre, navigate to the Sales page and scroll down until you reach the Quote and Order Statuses configure option.
By selecting the 'Click to Configure' link the Configure Quote Status window will open. Within this window all of your current Quote Statuses will be listed.
Step 3: Amend Quote Statuses
To determine whether a particular Quote Status can be edited or not, click on the 'Allow Edit' drop-down for the required status.
You'll have 3 options to choose from:
Admin - This option means only users with Admin rights will be able to edit the Quote record in this particular status.
Yes - This will allow all users to be able to edit the Quote within this particular status.
No - This will prevent any users from editing the Quote within this particular status.
