Duplicate a CRM record

How you can duplicate a CRM Record and the options presented when doing so.

Duplicating records can help efficiency or be a useful tool if you want a similar record created without going through the fuss of manually creating it.

Important: Records imported from your ERP or Accounting Systems cannot be duplicated. This includes but is not limited to Product Items, Sales Ledgers and Orders.

Step 1: Choose a CRM record

Find a CRM record you wish to duplicate! In this example, an Opportunity will be duplicated.

Step 2: Select Duplicate

From the further options menu, displayed as a three-dot icon in the top right-hand corner of the record, select Duplicate.

Step 3: Configure Duplication

Once you have selected to duplicate a record, you'll have the option to configure what aspects get duplicated.

The Parent record will always default to the Parent of the Record being duplicated, but this can be changed using the dropdown. For example, you can duplicate an Opportunity under Company A and create the duplicate under Company B, if required.

Lines

If the record has a Quote associated with it, you'll have the option to choose which, if any, Quote Lines will be duplicated. By default, any changes to pricing and discounts on the Lines will be kept unless the 'Recalculate Pricing and Discounts' option is ticked.

Documents

By default, when duplicating a record, all documents will be duplicated. You can manually select Documents or use our 4 options: 'All', 'Important', 'Pinned' or 'None' at the top to easily choose.

πŸ“Œ Note: Duplicated Documents are exact copies of each other. This means any merge fields used will not be changed if duplicated to a new Parent Record.

Notes

By default, when duplicating a record, all Activity Notes will be duplicated unless specified. You can use our 4 options: 'All', 'Important', 'Pinned' or 'None' at the top to easily choose which kind of Notes get copied.

Step 4: Select Confirm!

Once you are happy with what Lines, Documents and Notes are going to be duplicated, click Confirm to duplicate the record.

πŸ€“ Tip: Review the duplicate Record after it has been created, as all aspects will be directly duplicated. This includes any date fields or custom fields; duplicating is a direct copy.
