Before you start configuring the CRM built-in special pricing, it's important to know whether this functionality is right for your business. If you're using Special Pricing set up in your Accounting system and it's working perfectly fine for you, then you should continue using this form of special pricing.

However, this isn't the case for everyone, as some Accounting systems don't offer special pricing functionality. Plus, by having the special pricing managed in the CRM, it can save your Sales team time switching between 2 different systems. Click here to read more about CRM Built-in Special Pricing.

This guide explains how to bulk update your CRM Special Pricing via Excel.

Prerequisites

  • You'll need CRM Admin rights in order to follow the steps in this article

Step 1: Navigate to Price Band or Customer Special Pricing

You can either bulk update special prices from a Price Band or from a Company to update a customer's special pricing.

If you need to bulk update a Price Band, navigate to Configure Price Band here. Then, click the pencil icon of the Price Band you wish to bulk update.

Select either 'Product Prices' or 'Category Prices' depending on which prices you wish to bulk update.

You'll then be taken to the Product Prices page where all special prices will be listed. Once within the Price Band, click the three dots in the top right-hand corner, and select 'Update via Excel'.

If you're updating a customer's special pricing, navigate to the Company you wish to update pricing for and click on the 'Special Prices' page. Again, click the three dots from either the Special Product Price or Special Category Prices section depending which you wish to bulk update, then choose 'Update via Excel'.

Step 2: Select Special Pricing Fields to Update

Once you've selected 'Update via Excel', you'll be asked to select the fields you wish to update. The main fields you'll typically want to choose here include:

  • Price Type

  • Value

  • Start Quantity (If setting quantity break pricing)

  • Start Date (If setting a start and end date for special price)

  • End Date (If setting a start and end date for special price)

Once you've selected the fields you wish to bulk update, click 'Download Records'.

Step 3: Update Pricing within Excel

An Excel file will be downloaded to your PC. You can now update the Excel file with your pricing amendments.

Step 4: Upload Excel File

Once you've updated the Excel file, click 'Next' in the CRM.

Drag and drop the updated Excel file into the CRM. The file will then be validated, and if it doesn't detect any issues with the file, you'll be able to click 'Next'.

Your Special Prices will then be bulk updated!
