CRM contacts not syncing to Spotler
When you upload a target list from Prospect CRM to Spotler, some contacts may not appear in Spotler as expected. This is usually caused by invalid or missing email addresses, or by a contact's subscription status preventing them from being included in the sync.
Step 1: Check email addresses
To sync successfully, Spotler requires a valid email address for every contact. Contacts with a missing or incorrectly formatted email address are excluded automatically.
In Prospect CRM, open the contact record you want to check.
Review the email address field and confirm it contains a valid, correctly formatted email address.
If the email address is missing or invalid, update it with the correct value.
Allow time for the updated contact data to sync back into Prospect CRM before retrying the upload to Spotler.
š Note: Prospect CRM does not currently include a built-in report to flag invalid email addresses. You'll need to review contact records individually or use a data validation tool if one is available to your team.
Step 2: Check subscription status
Contacts who have unsubscribed from communications are excluded from the sync and will not appear in Spotler, even if their email address is valid.
Open the contact record in Prospect CRM.
Review the subscription status field to confirm the contact is actively subscribed to receive communications.
If the contact has unsubscribed, you cannot override this status manually. The contact must resubscribe before they can be included in a Spotler sync.
Warning: Do not attempt to manually re-subscribe a contact who has opted out of communications. Doing so may breach data protection regulations, including the UK General Data Protection Regulation (UK GDPR).
Maintain data to reduce sync issues
Keeping your CRM data clean reduces the number of contacts excluded from future syncs.
Regularly audit your contact records to confirm all email addresses are valid and up-to-date.
Remove or correct duplicate contact records, as these can cause unexpected sync behaviour.
Monitor subscription statuses across your contact list to ensure your target lists only include actively subscribed contacts.
If available, use a data validation tool or script to automate email address checks across large contact lists.
