Adding Quote Groupings to a Quote (Preview)

This articles outlines how to add Quote Groupings to your Quote.

Please note: this feature is in Preview at the moment, which means we're still making a few tweaks here and there to make it even better. It also means that while all customers can benefit from this feature right now, when it's out of Preview it may be restricted to certain subscriptions.

Quote Grouping allows you to group Quote lines together in both the CRM and Quote document templates and disable the automatic recalculation of Opportunity values when child Quotes change.

Step 1: Go to Settings Centre

To start using Quote Groupings on your Quotes, you'll need to enable the functionality via the Settings Centre. To access the Settings Centre, select 'Settings' then 'System Settings' in the navigation menu.

Step 2: Navigate to Sales in Settings

Navigate to the 'Sales' section and scroll down until you reach the "Quote line grouping feature (Preview)" configure option. Click 'Enable' to make the Quote Grouping available to use.

Step 3: Add Required Products

Before you start adding groups to your Quote, you'll need to add the required products. Once you've added products to a Quote, click on the drop-down on the 'Add Existing Products' button and select the 'Add Group (Preview)' option.ย 

Step 4: Add Title

You can then give your new group a title. Then, choose the products that you wish to add to that group by using the tick boxes.

Step 5: Choose Output Format Settings

Toggle on (blue) the desired settings:

  • Show Subtotal: This option will show a subtotal for the products added to the group within the Quote table.

  • Show Price Column: By setting this option, a price column for each product will be displayed when outputted to a Quote table.

  • New Page: When using a Word Quote document template, the group will be displayed on a separate page to the rest of the products.

  • Show Separate Totals: This option will display the totals for this group as a separate totals table.

  • Show Discount in Subtotal: This option will all you to show the discount value on a Quote group summary.

  • New Table: This will display the new group in a separate Quote table to the rest of the products.

Once happy with your selection, click 'Save'. The CRM will remember the grouping settings that you've selected if you add in another group to the Quote.

Your new grouping will now be displayed on the Quote. To create another group, simply click on 'Create Group' located above the ungrouped products. You can also drag and drop ungrouped products to assign them to a Quote group.

Opportunity Value Auto-recalculation Options

You can choose to disable the automatic recalculation of Opportunity values when a Quote under that Opportunity is created or updated. For example, you might have multiple Quotes under an Opportunity. Or, even with just a single Quote, you may have included product lines on the Quote that are entirely optional or speculative, and as a Salesperson you may know that your $10,000 Quote is only likely to generate $5,000 of business (because the customer is only likely to buy half the items on the Quote). In which case, you can turn off the automatic calculation (which would set the Opportunity value to $10,000 and manually set the value you are expecting - i.e. $5,000; providing more accurate and useful pipeline reporting!
