Revoke a user’s access to Prospect CRM using Access Evo

Remove a user from Prospect CRM with Access Evo.

To revoke a user’s access to Prospect CRM, it is essential to manage their roles correctly in Access Evo. Simply deleting a user from Access Evo does not automatically remove their access to Prospect CRM. Instead, their CRM role must be updated to ensure proper synchronisation and deactivation.

Revoke access

Follow these steps to revoke a user’s access to Prospect CRM:

  1. Access the Member’s Profile: Open Access Evo, open the Members tab and locate the user whose access you want to revoke.

  2. Manage the User’s Roles: Open the user’s member card, click on the options menu and select "Manage Roles."

  3. Update the CRM Role: Change the user’s Prospect CRM role from "User" to "No Access." Save the changes to deactivate their CRM access while retaining their data.

Restore Access

If a user's access to the CRM has been revoked, follow these steps to restore it:

  1. Log in to Access Evo as an Organisation Admin.

  2. Navigate to the Members tab and locate the user whose access needs to be restored.

  3. Open the user’s member card, click on the options menu, and select "Manage Roles."

  4. Reassign the "User" role to the user. Save the changes to reinstate their CRM access.


Troubleshooting

User still appears in Prospect CRM after deletion

If a user was deleted from Access Evo without first revoking their CRM role, they may still appear in Prospect CRM. To resolve this:

  1. Re-add or reactivate the user in Access Evo.

  2. Follow the steps above to set their Prospect CRM role to "No Access."

  3. This ensures the change is properly synchronised, effectively deactivating their CRM account.
