Within the CRM, you have a whole host of standard Reports to get you started when analysing and managing your CRM data. If you haven't already, make sure you have a read of our Taking More Orders Using RFM Analysis article, as this will highlight key Reports that use your sales data.
Sales Reports
The Sales Report group includes all standard Reports covering sales related CRM records.
New Orders
The 'New Orders' Report lists all the Quotes that have an order date in the last 30 days.
The aim of this Report is to help identify all new orders across the business. If 30 days is too recent or too long for your business, then you can change this within the Filters (simply click the three dots on the right-hand side of the Reports and select 'Filters'). At the top of the Report, you have a summary displaying the Base Value (excluding VAT) Average and Base Value (excluding VAT) Total.
New Online Orders
The 'New Online Orders' Report lists all Quotes that were ordered in the last 30 days and have a Quote type of WEB. This Report will only be relevant to those that have an integrated eCommerce site with Prospect CRM.
The aim for this Report is to see what recent orders the business has had via the website. Again, if 30 days is too recent or too long for your business, you can change this within the Filters. At the top of the Report you have a summary displaying the Value (excluding VAT) Average, Base Value (excluding VAT) Total and Base Value (including VAT) Total.
New Opportunities
The 'New Opportunities' Report lists all Opportunities that have been created in the last 30 days.
The aim of this Report is to help identify all new sales Opportunities that have been recorded within the CRM. If 30 days is too recent or too long, then again you can change this within the Filters. At the top of Report you have a summary displaying the Total Weighted Value, Worst Value, Likely Value and Best Value. For more information about these values, take a look at our article here.
Open Opportunities by Status
The 'Open Opportunities by Status' Report lists all Opportunities in an open Status, and then groups them by these Statuses. In the example above, there are 2 Opportunities in a Status of 'Push for Close' and 1 in 'Sales Process'. To view additional information about the Opportunity, simply expand the group. At the top of the Report there are summaries detailing the Total Weighted Value, Worst Value, Likely Value and Best Value.
All Open Opportunities
The 'All Open Opportunities' Report simply lists all Opportunities in an open Status. The Report also provides summary information for the Total Weighted Value, Worst Value, Likely Value and Best Value.
All Opportunities
The 'All Opportunities' Report lists all Opportunities within your CRM, without any Filters or summaries. If you require any Filters or summaries, you can simply add them in via the further options menu (three dots).
Sales Pipeline (This Month)
The 'Sales Pipeline (This Month)' Report lists all Opportunities that have an estimated close date for the current month and are in one of your Opportunity Pipelines. At the top of the Report you have a summary displaying the Total Worst Value, Likely Value and Best Value.
Sales Pipeline (Next Month)
The 'Sales Pipeline (Next Month)' Report shows the same information as the 'Sales Pipeline (This Month)' but shows Opportunities that have an estimated close date of the next calendar month.
New & Returning Customers
The 'New & Returning Customers' Report lists all sales ledgers that didn't spend anything in the previous year but have done since then.
The aim of this Report is to help identify any new customers and any returning customers that didn't spend with you in the previous year, but have now come back and placed an order. The difference figure will be calculated using the sales history information.
Decreasing Revenue
The 'Decreasing Revenue' Report lists all customers that have spent less with you than the previous 365 days, resulting in decreasing revenue. This Report is very helpful when identifying those customers that could be slipping away.
Increasing Revenue
The 'Increasing Revenue' Report lists all of your accounts that have spent more with you than the previous 365 days, resulting in increasing revenue. This Report helps to identify your growing customers.
Customers not ordered in a year
The 'Customers not ordered in a year' Report lists all accounts that have not placed an order in the last year. The aim of this Report is to help you identity customers that may be slipping away and provides a targeted list of customers that may wish to buy again.
Customer Service Reports
We also have reports focused on the Customer Service aspect of the CRM. The Service Report group includes all standard Reports relating to Problems within the CRM hierarchy.
Problems open for too long
The 'Problems open for too long' Report, by default, lists all Problems that were created more than 7 days ago. The aim for this Report is to help identify bottlenecks and customers that may experience a delay with their customer service query or issue.
If 7 days ago is too recent, or equally too long, for your business, then you can change this within the filters. At the top of the Report you have a summary displaying the total number of Problems meeting this Report criteria.
New Problems
The 'New Problems' Report lists, by default, all Problems created in the last 7 days. The purpose of this Report is to monitor how many new Customer Service queries or issues have been logged recently, helping to forecast your Customer Service resource. Again, if the last 7 days is too long or too short for your business, then you can change this within the Filters.
Open Problems by Status
The 'Open Problems by Status' Report lists all Problems in an open status, and groups them by these statuses. In the above example, there are 10 Problems in a status of 'Awaiting Action' and 5 Problems in a status of 'In Hand'.
All Open Problems
The 'All Open Problems' Report simply lists all Problems that are currently in an open Status. There's only 1 filter on this Report which is only showing open Problems and there are no grouping and summaries featured on this Report, but these can be added if required.
All Problems
The 'All Problems' Report lists all Problems within your CRM. It doesn't have any filters, groupings or summaries applied, but again you can still add these in. The purpose of this Report is to give you a comprehensive view of all Problems that have been logged in your CRM.
