Within the CRM there are three methods for setting a delivery charge:

  • Users manually type a delivery charge value
  • Prospect 365 will calculate valid options based on the division, delivery location, order value and/or total weight.
  • Custom delivery charges via API

The first two methods are supported out of the box & provide the vast majority of requirements leaving the third to be used for very complex requirements. Please do get in touch with our Customer Services team or Account Management if you require custom delivery charges. This article will focus on configuring automatic delivery charges within the CRM.

To configure your Delivery Charges you will require Prospect Administrator rights, if you require these then please speak to your key CRM Admin user or our Customer Services Team.

To edit your Delivery Charges, click on the cog icon in the bottom left-hand corner to take you to the Settings Centre.

Once within the Settings Centre, navigate to the 'Sales' section and within here you will have the Delivery Charges configure option.

To configure automatic calculations choose the Standard option from the automatic calculations drop down.

By choosing the standard option you will then be able to click on the configure link to start setting your automatic delivery charges. Before doing so choose whether the automatic calculations will be available for either all users or just administrators.

Once you have clicked the Click to Configure link you will be taken to the Configure Delivery Charge window. To add a new delivery charge click on the plus icon in the top right-hand corner.

You will then be able to start entering information about your new delivery charge.

Description: This should detail what type of delivery charge is being added for example Next Day Delivery.
Product Item: This will be the product item that will be used when adding the automatic delivery charge. It is important to choose the right product item as it will help calculate the correct VAT. Click on the pencil icon to search for the correct product item.
Delivery Zone: Select the correct delivery zone that this delivery charge will be applicable for. For example this might be Mainline UK.

Once happy with the information entered click Create. Your delivery charge will then be added to the Configure window, select the pencil icon to continue setting up your new delivery charge.

A side panel will then appear with some first configure options:

Cut Off Time: The first configure option is to include a cut off time, this is helpful if you ship out your products at a particular time of day.
Time Frame (Days): The time frame should specify how long the delivery would take for the customer.
Hazardous Product: If the delivery charge is going to be used for Hazardous Products please select this option.
No Valid Default: If this delivery option will be used for the no other valid delivery option then make sure this is clicked as Active. By selecting active then you can set this delivery option to be offered when no other delivery option is valid.
Price: This should be the price of the delivery charge.
Minimum Value: If there is a minimum order value for this delivery charge please specify here.
Surcharge: If a surcharge is applied for this delivery option please enter the value amount.

Finally, you can then select the days that this delivery option will be active for. Simply select the days that this delivery option would be applicable for.
